Can my care coordinator run the home care agency while I step back?

Your coordinator may well manage, but test that before you rely on it. A coordinator who manages schedules well may not handle hiring, payer relationships, complaints or finances. List what you do each week, hand pieces over gradually, and see which parts hold up without you.

Start by listing everything that only you do. Many owners find the list longer than expected: dealing with referrers and funders, signing off on invoices, resolving complaints, hiring and handling anything that goes wrong at night. Then mark which items your coordinator already does well, which they could learn, and which need a different person.

Run a trial. Take a planned stretch away, even a short one, and let the coordinator decide. Do not step in unless there is real risk. Afterwards, debrief and note where they hesitated. The trial also shows whether staff, clients and referrers accept the coordinator as the person in charge.

Then think about structure. A coordinator running the agency may need clearer authority, backup support, an advisory arrangement with you and pay that reflects the added duties. Your accountant and lawyer can help set this up in a way that also protects the business and the clients. Plan for what happens if the coordinator leaves. Ask the coordinator what they want. Some people are glad of more responsibility, and some prefer to stay in a role they know, and you will learn this only by asking.

Key takeaways

  • List every task only you perform, then mark what the coordinator can take.
  • Run a trial absence and watch where decisions stall.
  • Set clear authority, backup and pay before the change, not after.
  • Ask the coordinator directly whether they want the larger role.
