How do I check how an office moving company handles IT equipment and server moves?

Ask how the crew prepares, labels, packs and transports computers and servers, and who is trained to do it. Check for anti-static supplies, proper racks and carts, and whether the company works with the client’s IT staff. Then ask about any past damage and how it was resolved.

Moving servers is different from moving desks. Equipment is fragile, data may be sensitive and downtime costs the client money. Start by asking who in the company does this work and what training they have received. If it falls on one skilled person, note that.

Ask to see the process. How does the crew document cabling and rack positions before disconnecting? How are drives and devices labelled, packed and tracked? Look at the supplies: padded containers, anti-static materials, specialist carts and vehicles with suitable suspension. Notice whether the company relies on the client’s IT team or subcontracts the technical work.

Ask what has gone wrong. Has equipment been damaged, delayed or lost? How did the company respond, and did it lose the customer? A candid answer shows maturity. Ask also how the seller handles confidential data on devices, and what the crew agrees to before they touch anything. Finally, review the insurance. Does the policy cover this work specifically, and do the clients ask for proof? An insurance broker can tell you whether the cover fits IT moves. Ask for references from recent IT moves.

Key takeaways

  • Find out who is trained to handle servers and whether that person is staying.
  • Ask to see how cabling and rack positions are documented before a move.
  • Review past damage claims and how the company responded.
  • Confirm the insurance fits IT equipment and that clients can see proof.
