How do I show buyers my motel’s occupancy and booking history?
Pull the occupancy and room-revenue reports from your property-management system and each booking site, cover several full seasons, and tie the totals to your bank deposits. Explain any closed rooms or renovation periods in a short note, and put it all in one tidy package a buyer and lender can follow.
A buyer cannot picture your motel from a photo. What they can study is your history: how full the rooms were, what guests paid and when the busy and quiet months fell. A package that is complete and easy to read tells the buyer you run the place carefully. A messy one invites doubt about every other number you give.
Pull the reports from the source
Start with your property-management system, then add the reports from each booking site and any direct bookings you take by phone or walk-in. Export the same view for each period so the pieces line up. Cover several full seasons rather than one good year, because buyers want to see how the motel behaves in strong and weak stretches.
Tie the reports to your deposits
Reports describe what you booked. Your bank records show what arrived. Reconcile the two, month by month, and keep a short note on the differences, such as commissions, refunds and cash. A buyer or lender who sees the totals agree will trust the rest. Your accountant can help you set this out in a way that matches your financial statements.
Explain the gaps before you are asked
If rooms were closed for repairs, a wing was renovated or a road project cut traffic, say so in a plain note beside the numbers. Buyers can work with a known reason. They struggle with a dip nobody explains. If you changed your rates or your booking channels, record when and why.
- Monthly occupancy and room revenue for each season.
- Booking-site and direct-booking splits.
- A reconciliation to bank deposits.
- A one-page note on closures, renovations and local events.
See how a buyer reads these records in what to check in hotel occupancy and room revenue records, and share the package only after a signed confidentiality agreement.
